[FILLED] Seeking: Technical Coordinator (Volunteer Position VSFF2023)

Attention short film fans! We’re looking for a skilled and passionate Technical Coordinator to join our team!


Working alongside the VSFF Programming Manager, Marketing and Partnerships teams, as well as festival venues, this role will oversee the technical execution of the 2023 Vancouver Short Film Festival. Our ideal candidate is savvy with film and media tech, detail-oriented, a keen problem-solver, and eager to support Vancouver’s independent film community.

About Us

Since our inception in 2005, the Vancouver Short Film Festival has been committed to celebrating Canada’s vibrant community of short filmmakers, documentarians, and animation artists. Our goal is to foster that community by elevating local talent, connecting filmmakers to audiences, and building ties between emerging and established filmmakers nationwide.

Each year the festival programs over 50 films and awards over $30,000 in cash and prizes to Canada’s best short films. Since 2009, screenings and events have taken place at the VIFF Centre Cinema in downtown Vancouver. In 2022 VSFF held both online and in-person festivals, featuring 51 short works from BC and across Canada, and three days of Filmmaker-exclusive events.

The 13th Vancouver Short Film Festival will be held from June 2-4 2023 in-person and June 2-11 2023 online.


Schedule & Scope

Position Duration: March - June 2023

While the time commitment for this role may vary from month-to-month, the anticipated time required is 2-5 hours per week.

The majority of the role is carried out remotely, however the candidate may be asked to attend the occasional VSFF team meeting and technical tests in-person in Vancouver.

The Candidate is asked and expected to join us in-person in Vancouver for our festival screenings and events from June 2-4 2023.


Key responsibilities include

  • Correspondence with selected festival filmmakers regarding the delivery of their screenings files, key film information, and associated deliverables

  • Ensuring technical acceptance of screenings files to specs as provided by festival venue

  • Tracking materials delivery statuses via Google Sheets (Excel)

  • Prepare screening files for both in-person theatrical screenings and virtual digital screenings, including film files and promotional materials provided by Marketing and Partnerships teams

  • Attend technical rehearsal(s) at festival venues to ensure all films run smoothly and audio levels are correct

  • Mitigate any technical issues with film screenings, both leading up to the festival, and during the festival weekend


Qualifications

  • Working knowledge of file transfer platforms including WeTransfer, Google Drive, Dropbox, and FTP servers

  • Strong file management skills and an attention to detail

  • Knowledge of film editing software and film file delivery

  • Proficiency with common media players (ie VLC)

  • Strong written communication skills

  • Reliable, organized and able to manage time effectively

  • Past experience with film screenings and festival involvement is a bonus!

  • Knowledge of film projection, and/or theatre technical operations is a bonus but not required
